VENUE BOOKING TERMS & CONDITIONS
For Hosting Screenings of The Scottish Outdoor and Adventure Film Tour Operated by Outdoor Film CIC, a Scottish Community Interest Company with registered number SC848018 and registered office at Studio 3.4, The Pentagon Business Centre, 32 Washington Street, Glasgow, G38AZ.
These Terms and Conditions (“Agreement”) apply to all venues (“the Venue”) hosting public screenings of The Scottish Outdoor and Adventure Film Tour, organised and presented by Outdoor Film CIC (“the Tour Organiser”). By confirming a booking, the Venue agrees to the following:
1. Event Overview
The Venue agrees to host one or more screenings of The Scottish Outdoor and Adventure Film Tour, featuring curated outdoor and adventure films. Each Event includes a full screening programme, supporting media, and marketing assets.

Venue Capacity: As specified by the Venue

Technical Format: Digital file(s) provided for playback or external kit by arrangement

Duration: Approx. 100 minutes, plus optional introduction/intermission
2. Financial Terms
Upon confirming a screening, the Venue agrees to one of the following payment models:
Option A - Buy-Out Fee
The Venue pays a fixed Buy-Out Fee, as indicated in writing (if applicable), regardless of ticket sales. This fee is due at least 14 days prior to the event.
Option B - Revenue Share
The Venue and the Tour Organiser will split Net Ticket Revenue as follows:

At a revenue split as agreed in writing

“Net Ticket Revenue” means gross ticket sales minus any agreed booking or transaction fees.

Settlement and reporting must be completed within 14 days following the event.
The selected model (Buy-Out or Revenue Share) will be agreed in writing between both parties prior to the event and confirmed via email.
3. Responsibilities
Tour Organiser Will Provide:

Fully licensed film content for public screening

Digital promotional materials (posters, images, trailer)

Event description and copy

Optional event representative on-site (by agreement)
Venue Will Provide:

A suitable screening space with projection/sound or access for external kit

Front-of-house and technical staff for the event

Ticketing (unless otherwise agreed)

Marketing support via usual venue channels (e.g. website, social, email)
4. Copyright & Licensing
The Tour Organiser confirms that all films and content provided for the event are licensed for public screening. The Venue will not duplicate, alter, or share this content beyond its intended use.
5. Marketing & Promotion
Both parties agree to promote the event to their respective audiences. The Venue is encouraged to list the event on its website, social media, newsletters, and physical publicity channels.
6. Cancellation & Postponement

By the Venue: Cancellations within 21 days of the agreed date may result in a charge equal to the agreed Buy-Out Fee or expected share of ticket revenue.

By the Tour Organiser: The Tour Organiser may reschedule or cancel due to unforeseen circumstances and will notify the Venue as soon as possible.
Neither party shall be held liable for cancellation due to events beyond their control (e.g. extreme weather, illness, venue closure, government restrictions).
7. Insurance
Both the Venue and Tour Organiser agree to maintain appropriate public liability insurance and are individually responsible for their own equipment, staff, and operations.
8. Legal

This Agreement is governed by the laws of Scotland, unless otherwise agreed.

These Terms form a binding agreement once a screening is confirmed in writing (e.g. via email).

No signature is required. The agreement is effective upon confirmation of a screening date and financial model.
